Offboarding and Transfers Policy
Purpose
To define the types and process for securely managing Access and Role changes.
Offboarding
Definition
Offboarding is the removal of internal access from all LightForce systems, and the collection of any company property.
Scheduling
Offboarding will occur no later than 4:30 EST on the specified date of separation.
Offboarding Process
The primary goal of the Offboarding process is the securing of LightForce property and information. During the Offboarding Process, Human Resources are responsible for populating the Offboarding checklist
Supervisor Responsibilities
- Notify HR of Termination (Written or “Complete, sign and submit the Supervisor Checklist for OffBoarding Employees (WIP)”
- Recover any Lightforce property in possession of the employee
Human Resources Responsibilities
- Provide IT the populated Offboarding Checklist
IT Responsibilities
- Secure and remove access noted in the Offboarding checklist, following the Access and Role Change Procedure - LINK HERE
Transfer/Role Change
Definition
Transfers and Role changes accounts for all changes through which the designated users will retain some internal access to Lightforce Systems.
Scheduling
Supervisors should provide notice at least 5 business days prior to the expected transfer, to allow time for appropriate changes to be made.
Access and Role Change Process
The primary goal of the Access and Role change process is to ensure the principle of least privilege is maintained as an employee transitions between different roles, with different access levels and needs.
Supervisor Responsibilities
- Current & New Supervisor informs HR of Role Change, or “Complete and submit the Access Change Form.
- Recover any Lightforce property no longer required in the new role
Human Resources Responsibilities
- Provide IT the completed Access and Role Change Form
IT Responsibilities
- Grant and or Remove access as necessary in the Access and Role Change Form, LINK HERE
